Privacy Policy

1. Who we are

askspresso is an interview copilot for independent and agency recruiters, operated by Chosen HQ LLC, a California limited liability company(“askspresso,” “we,” “us,” or “our”). This Privacy Policy explains what personal information we collect, why, how we protect it, who we share it with, and the choices and rights you have.

For the account you create and how you use the product, we act as a data controller. For the interview content you bring into askspresso — candidate résumés, notes, recordings, and transcripts — you (the recruiter or your agency) are generally the controller and we act as a data processor acting on your instructions. 2. Who this policy covers

This policy applies to three groups of people:

• Recruiters and account holders — the people who sign up for and use askspresso.
• Candidates — the people being interviewed, whose résumés, recordings, and transcripts a recruiter processes in askspresso. If you are a candidate and want to exercise a right, see “If you are a candidate” below.
• Clients and hiring managers — the people a recruiter shares a submittal or report with, who may open a link or leave a decision.

3. Information we collect

Information you give us

• Account & profile — your name, email address, and workspace details. You sign in through our identity provider (Keycloak) and may choose to sign in with Google; we receive your name and email from that sign-in, never your password.
• Interview content — the résumés, job descriptions, notes, and freeform context you paste in; the interview recordings and transcripts captured for your calls; the scores, evidence, and reports you create.
• Candidate & client details — names and contact details of the candidates and clients you add to your workspace.
• Billing details — your subscription status and billing contact. Card payments are handled by Stripe; we do not store your full card number.
• Support & correspondence — anything you send us when you contact support or give feedback.

Information we collect automatically

• Usage data — actions taken in the product, feature usage, and diagnostic logs, used to run, secure, and improve the service.
• Device & connection data — IP address, browser type, and similar technical information.
• Cookies — a small number of essential cookies (see Cookies).

Information from connected services

• Calendar data — if you connect Google Calendar for auto-join, we access upcoming event details (times, titles, and meeting links) to schedule the interview bot. The access token is stored encrypted and used only for that purpose; you can disconnect at any time.
• Meeting recordings — when enabled, our meeting-recording vendor (Recall.ai) joins your Zoom, Google Meet, or Microsoft Teams call to capture audio and a transcript.

4. How we use information

We use personal information to:

• Provide the product — prep kits, the live copilot, scorecards, and reports.
• Record and transcribe interviews you ask us to, and generate AI-drafted analysis from those transcripts.
• Authenticate you, keep your workspace secure, and prevent abuse.
• Process your subscription and payments.
• Provide support and respond to your requests.
• Maintain, debug, and improve askspresso — using aggregated or your own workspace's data, never one customer's candidate content to benefit another.
• Comply with our legal obligations and enforce our terms.

5. AI and automated processing

askspresso uses AI to draft interview materials and to analyze interview transcripts. Two commitments shape how we do this:

• It is decision-support, not an automated decision. The AI produces a second opinion that stays sealed until you have scored an interview yourself. It never makes, and is not designed to make, a hiring decision on its own. You remain the decision-maker.
• Behavioral and textual signals only. We analyze what was said and how an interview was conducted — coverage, follow-through, talk balance. We do not perform emotion recognition or infer sensitive characteristics.

We do not use interview content to train third-party foundation models. Our AI provider processes your content to return a result to you and does not use it to train its models.

6. Recording and consent

Recording a conversation is a serious thing, and the law about it varies by place — some US states and the EU require every person on a call to agree. Before any recording bot joins, the recruiter must confirm that the candidate has been told the call is recorded and AI-assisted and has consented.

If you are a recruiter, you are responsible for obtaining every consent the law requires where you and your candidate are located. If you are a candidate and did not consent, or want a recording deleted, contact the recruiter who interviewed you, or reach us at contact@chosenhq.com and we will help route your request.

7. Legal bases for processing (EEA/UK)

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases under the GDPR / UK GDPR:

• Performance of a contract — to provide the service you signed up for.
• Legitimate interests — to secure, maintain, and improve askspresso, in a way balanced against your rights.
• Consent — for optional integrations and where consent is required for recording; you can withdraw it at any time.
• Legal obligation — to meet our compliance, tax, and accounting duties.

8. How we share information

We do notsell your personal information, and we do not “share” it for cross-context behavioral advertising. We disclose it only to:

• Service providers (subprocessors) who help us run askspresso, under contract and only as needed (see the table below).
• People you choose — for example, a client or hiring manager you send a report link to.
• Legal and safety — when required by law, to enforce our terms, or to protect the rights and safety of people.
• Business transfers — if we are involved in a merger, acquisition, or sale of assets, subject to this policy.

Our subprocessors

We keep the current list available and will update it as our providers change. For the list in effect at any time, email contact@chosenhq.com.

9. Data retention

We keep personal information for as long as your account is active and as needed to provide the service, then for a reasonable period to meet legal, accounting, and dispute-resolution needs. Interview recordings auto-expire from our recording vendor and are copied to encrypted storage under your workspace. You can request the export or deletion of specific candidate content, or of your whole workspace, at any time — see your rights below.

10. How we protect information

• Encryption of data in transit and at rest, including recording storage.
• Strict per-workspace isolation, so one customer's data is never visible to another.
• Encryption of sensitive tokens (such as calendar access tokens) and report passwords.
• Access controls, least-privilege practices, and audit logging on our systems.

No system is perfectly secure, but we work hard to protect your data and to notify you and the authorities as required if something goes wrong.

11. International data transfers

We may process and store information in the United States and other countries where we or our providers operate. Where personal data is transferred out of the EEA or UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

12. Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal information; to object to or restrict certain processing; and to withdraw consent. If you are in California, you have the right to know, delete, and correct your personal information and to opt out of its sale or sharing — and because we do neither, there is nothing to opt out of. We will not discriminate against you for exercising any right.

To exercise a right, email contact@chosenhq.com. We will respond within the timeframe the law requires. You also have the right to complain to your local data-protection authority.

13. If you are a candidate

When a recruiter interviews you through askspresso, that recruiter (or their agency) decides what data is collected and why — they are the controller, and we process it on their behalf. The most direct way to access, correct, or delete your information, or to ask about a recording, is to contact the recruiter or agency who interviewed you. If you can't reach them, email us at contact@chosenhq.com and we will pass your request to the right workspace and help where we can.

14. Cookies

askspresso uses only the cookies it needs to work: a secure session cookie to keep you signed in, and a small preference cookie that remembers your light/dark theme. We do notuse advertising or cross-site tracking cookies. Because these cookies are essential to providing a service you asked for, they don't require a consent banner — but you can clear cookies in your browser at any time.

15. Children

askspresso is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us data, contact us and we will delete it.

16. Changes to this policy

We may update this policy as the product and the law evolve. When we make a material change we will update the “Last updated” date above and, where appropriate, notify you in the product or by email. Continuing to use askspresso after a change means you accept the updated policy.
